What You Get Every Month

Clean, reconciled books are the foundation. Here's what I deliver on top of them — included with every plan.

Voice Ledger: the software behind your books

I built Voice Ledger so nothing slips through the cracks. It connects to your QuickBooks Online in read-only mode — it reads your books, and nothing changes in them without your approval.

Every month it:

  • Runs a 34-Point Health Scan. Duplicates (bills, invoices, payments, expenses, vendors, near-duplicates and transposed numbers) · Miscoding (uncategorized items, card payments and transfers booked as expenses, payroll and loan payments lumped together, personal expenses, missing payees) · Balance sheet problems (opening balance equity, overdrawn accounts, suspense and clearing balances, accounts on the wrong side) · Bank and reconciliation gaps · Vendor price increases and unusual vendor activity · Avoidable fees and unapplied credits · Changes to closed months.
  • Ties your reports out to QuickBooks to the cent — 11 tie-out checks before anything is sent to you.
  • Separates confirmed issues from possible ones, so you aren't chasing false alarms.
  • Labels every number by where it came from and whether I've reviewed it.

The 2-Page Client Summary

Your month, readable in five minutes.

  • Page 1: profit, sales, total costs and cash in the bank; a 13-month trend chart; the three things that matter most this month; and a health check covering your operating result, cash and bills, collections, and how far the numbers can be relied on.
  • Page 2: where the money went; your top three priorities with who does what, by when; any questions I need you to answer (like "was this $186 charge business or personal?"); and where the bookkeeping stands.

The Full Monthly Report

Everything behind the summary, in about 12–15 pages:

  • Profitability — from sales to profit, step by step, compared with last month and last year.
  • Where the money went — every dollar in and out on one chart, your biggest costs, and what changed.
  • Cash — your balances, and why your bank balance and your cash-flow statement can differ.
  • Customers and bills — who owes you and for how long; who you owe and what's overdue.
  • Your financial position — assets, debts and equity in plain charts.
  • Open items — every issue found, confirmed vs. possible, with the next step.
  • Appendices — my work log, the tie-out checks, and your full financial statements.

The Business Explorer

A private, interactive file built from your own books every month. It opens in any web browser and works offline — no login, nothing to install, nothing stored online.

Tab 1 — Can I afford this?

  • Tap any month to compare it with this one; tap any cost to see how much of every $1 of sales it takes.
  • Ask with sliders: How much do I need to sell to make $X? Can I afford a new hire? What price raise covers a supplier increase? What if I raise prices and lose a few jobs?
  • Switch off a line of work to see whether the rest still pays the bills.
  • A 13-week cash timeline: see when cash could get tight if customers pay late or you buy equipment.
  • Combine decisions into one plan and see the total effect on profit and cash.

Tab 2 — Where are we vulnerable?

  • A stress test: sales drop, costs rise, customers pay late, a surprise bill — one at a time and all at once.
  • Your breaking points, in plain words: how far sales can fall before profit turns negative.
  • A heat map of every price change against every level of lost work.
  • Which of your guesses matters most, so you know what to verify before you commit.

Tab 3 — What worked?

  • Save a plan. Next month, the Explorer compares it with what actually happened — profit, sales, cash, and which assumptions held.

Every number is labelled: from your books, calculated, or a setting you chose — so you always know what's fact and what's an assumption. When a result looks risky, one click emails me to talk it through.

Important Information About the Business Explorer and Reports

For planning and discussion only. The Business Explorer is an educational tool for testing "what-if" ideas. Every result shows what would happen if the assumptions shown held true. Results are hypothetical illustrations — not forecasts, predictions, projections of future performance, promises, or guarantees.

Not professional advice. Nothing in the Business Explorer, the monthly reports, or this website is financial, investment, tax, accounting, or legal advice. I am a bookkeeper, not a CPA, attorney, or licensed financial advisor. Talk with qualified professionals before making significant business, tax, borrowing, hiring, or investment decisions.

Your data and assumptions. Results depend on the accuracy and completeness of your QuickBooks records and on the assumptions and settings you choose. Information not recorded in QuickBooks — such as payroll dates and loan payment schedules — is estimated or shown as missing. Actual results will differ, sometimes significantly.

No guarantee of savings or results. Any savings, profit improvements, or other outcomes described on this website are possibilities, not promises. Results vary from business to business.
